Duties & Responsibilities
Administration
- Administer sales related duties for financial director and sales agents.
- Prepare documents for key client meetings (collect, collate, and prepare)
- Keep updated record of all key client information, agreements, and schedules.
- Organise the necessary travel and accommodation arrangements on behalf of yourself and necessary colleague.
- Perform a high level of administrative, including typing, editing, reports and preparing presentations as well as any other reasonable requests that may be required.
- Assist with proposals and quotations for prospective clients.
- Research prospective companies or customers that we can market to.
- Compile a monthly report on sales performance.
- Prepare sales figures and forecasting for directors and managers.
Processes & Procedures
- Support company operations by maintaining office systems and processes for an effective sales and agent team.
- Create and update databases and records for client information and other data.
- Identify process improvements and procedural challenges, recommending appropriate solutions – PROBLEM SOLVING.
- Co-ordinate sales office and agent activities and operations to secure efficiency.
- Work together with marketing team on scheduled yearly campaigns and promotions, to promote sales.
Client Engagement
- Manage phone calls and correspondence of key information for existing and prospective clients.
- Follow-up on with key clients, ensuring the necessary documentation is in order.
- Assist with queries associated with the product in question.
- Proactively follow up on offers made and constantly liaise with key clients and sales office regarding status of orders and back orders.
- Provide clients with relevant information about product offerings and related technical components.
- Provide accurate, efficient, and timely responses to requests from clients and assist with queries or complaints.
- Follow-up on all outstanding work daily and advise salesperson accordingly
Team Engagement
- Assist key team members and schedule meetings and appointments with members
- Willing to travel on occasionally to key client meetings.
- Prioritise important emails and tender documentation on behalf of team members.
- Inform the managers/director of critical information.
- Provide administrative support to the external sales representatives.
- Participate in meetings and interactions to ensure the recording of decisions and follow-up.
- Work closely with sales team and agents to ensure efficient processes.
- Coordinate with the marketing department to ensure that relevant regular content is marketed to existing and new potential customers.
- Assisting and resolving all customer and sales reps queries
- Supporting the sales force with general operations to help reach the teams objectives.
Order Processing
- Check on stock levels regularly and flag items where volumes are inadequate for sales orders.
- Handle all queries or requests received and trouble-shoot the teething problems during the initial stages of the customer experience.
- Monitor returns.
- Escalate areas of concern (risk or losses through duplicated orders, incorrectly processed orders etc.) promptly to the Directors/Managers for attendance.
- Perform any other related duties as requested by Management
Desired Experience & Qualification
Minimum 5 years experience in a similar environment
Matric
Excellent Computer Literacy
Must have worked in an orders and manufacturing environment
