The company operates in South Africa and across the African continent, giving them the benefit of a global affiliation while maintaining our local independence. The primary function of the Digital Operations Coordinator is to support the operations team and all departments within the agency. The Digital Operations Coordinator will work closely with the account managers, project managers, traffic managers and especially the digital buyer and digital financial administrator. Attention to detail and strict process adherence is of paramount importance. The Digital Operations Coordinator will report directly to the Operations Manager and will also work closely with strategists and HOD’s to ensure job creation and Project Management and Traffic Management functionality is aligned for new business.

Duties & Responsibilities

  • Create jobs for new business throughout digital in the job loading system (Workbook)
  • Ensure correct input of information (cross referencing with other information from WIP meetings) is required 100% of the time
  • Ensure all supplier invoices are prepared and signed monthly and mid-monthly
  • Ensure campaigns are loaded into the buying system for media and tracker for marketing
  • Ensure campaigns and projects are billed correctly and accounts are accounted for
  • Ensure CI approvals and distribution are correctly adhered to giving support to the campaign managers and suppliers
  • Manage supplier purchase order checks against schedule and ensure costings are adhered to
  • Attend to supplier and media owner queries with relevant parties
  • Manage the maintenance of the tracking document to align to media and marketing leftover budget requirements
  • Reconcile client campaigns and projects
  • Adhere to company systems, process and workflows
  • Follow line manager instructions, as directed, as they apply to operational coordination
  • Assist the finance department where required
  • Ensure spend meetings and spend management are 100% aligned with the budget and that clients are satisfied

Desired Experience & Qualification

  • Formal qualification in Project Management and/or Traffic Management
  • 2+ years’ work experience within a digital operations role or similar
  • Deadline driven with exceptional attention to detail
  • Ability to handle a high-volumeworkload in a high-pressure environment
  • Logical thinker with strong administrative skills
  • Excellent written and verbal skills
  • Ability to develop relationships – internally, with all teams and externally, with suppliers
  • Advanced computer knowledge (Microsoft Excel, CHASE, Workbook)
  • General understanding of bookkeeping practices
  • Numerically literate and application thereof (problem solving)
  • Excellent time-management skills
  • Extremely organised and methodical
  • Ability to prioritise all work in the pipeline

Package & Remuneration
